Nivelo in brief
What works today?
Jobs, customer records, compliant quotes and invoices accepted online, the schedule and route, the signed job sheet, the calculation tools, messages to customers and the export for your accountant. The phone receptionist is waiting for the line to open, which we're preparing with a telecom operator: until then, she takes no calls and no minutes are counted.
Which trades is it for?
Every building professional, alone or in a small team: heating and air conditioning, plumbing, electrical, roofing, joinery, locksmiths, masonry and structural work, finishing trades, well drilling and pumps, and general contractors. You tick one or more trades when you create your account: the starter catalogue, the receptionist's questions and the calculation tools follow.
Can I do everything from my phone?
Yes. Nivelo is built for the phone, with one main action per screen: make a quote on the job, get the job sheet signed, send "I'm on my way", record a payment. On a computer, the same screens get wider for evening work.
What if I work with a team?
Add them as team members: each one has their own colour in the schedule and their own route for the day. Every feature is included in every plan, with no price per user.
The receptionist
Does the caller know they're talking to an AI?
Yes. In her very first sentence, she gives your business name and says she's a virtual assistant. You can change the wording but not remove the announcement: the EU AI Act requires it.
What does she do if there's a smell of gas or a CO alarm?
She asks the caller not to touch any switch or flame, to open the windows and leave the building, then to call 112 or the network operator. She books nothing and alerts you straight away, until you confirm you've received the alert.
Can she give a price or a diagnosis?
No. No diagnosis, no repair advice, no firm price. The only amount she can quote is your call-out fee, if you've entered one. A quote request becomes a callback request, with the need and the contact details.
What if the caller wants to speak to someone?
She doesn't push: she offers a priority callback and takes a message. She does the same if she can't understand the caller after two tries.
What if the address is outside my area?
She says so politely and books nothing. The call stays visible in the app.
Does she understand Belgian expressions?
Yes, in French: boiler, GSM, septante, nonante, mazout, « vous savez venir ? », « à tantôt »… She knows that in Belgium « dîner » means lunch: « après le dîner » means early afternoon. She speaks simply, asks one question at a time and has the name, number, address and postcode confirmed.
Does she speak Dutch, English or German?
On the phone, she'll speak French first. Messages to your customers, quotes and invoices already exist in English, French, Dutch and German.
How will I be told about a call?
After each call, a summary (reason, urgency, address, contact details, outcome) by text, by e-mail or both, plus the call in the app. Critical and urgent calls go out as soon as the level is known. These messages will start with the line.
Does she replace the emergency services?
No. If there's danger, she points the caller to 112 or the network operator and alerts you. She replaces neither the emergency services nor your judgement.
Quotes, invoices and payments
Are Belgian VAT rates handled?
Yes: 21, 12, 6 or 0%, line by line, with the breakdown by rate. For renovating a private home more than ten years old, the legal 6% note is printed automatically; it replaces the customer's certificate. The "Which VAT rate" tool helps you decide, for example for a gas or oil boiler, at 21% since 29 July 2025. Choosing the rate is still up to you, or your accountant.
What about reverse charge or the VAT exemption?
For a VAT-registered customer who declares the VAT themselves (the co-contractor), the invoice shows no VAT and carries the reverse charge note. Under the small business exemption, it carries the exemption note. You choose the scheme on the document; Nivelo writes the note and the right total.
How does the customer accept a quote online?
You send them a link by text, WhatsApp or e-mail. They open the quote in their language, tick that they've read it, type their name and accept. The job moves to "accepted" by itself, and the deposit or final invoice is prepared with no retyping.
How does QR code payment work?
The invoice shows your IBAN, a structured reference (+++…+++) and a payment QR code. The customer scans it with their banking app: amount and reference are already filled in. Nivelo doesn't read your bank account: you record the payment in one tap, and the amount owed updates.
Do reminders follow the law?
Yes. For a private customer, the first reminder is free and the compensation is capped, as Book XIX of the Code of Economic Law requires. For a business, the Law of 2 August 2002 provides for late payment interest and a flat €40 compensation. Nivelo prepares the right message, with the right amount.
What about Peppol e-invoicing?
Since 1 January 2026, invoices between Belgian businesses go through Peppol. Nivelo prepares the UBL file of each invoice, which you upload to your Peppol access point or pass to your accountant. Sending directly via Peppol isn't done yet: we'd rather say so than let you think otherwise.
What does my accountant get?
One CSV file per month with your sales split by VAT rate, and the UBL file of each invoice. Your accountant can use them as they are.
Jobs and schedule
How is the route worked out?
Nivelo puts your appointments for the day in order and estimates the drive between two stops from the postcodes: a straight-line distance adjusted for roads, and an average speed. It's an estimate to spot a gap that's too tight, not a satnav: directions open in Google Maps or Waze.
What is the signed job sheet for?
On site, you note the work done, the parts fitted and the hours. The customer signs with a finger on your phone. The appointment moves to "done", and the invoice fills in with those lines.
Which calculation tools?
The sums for each trade: paint, tiles, slab and concrete, drain slope, cable size and voltage drop, roof area, stairs, heating output, price and margin, which VAT rate. The assumptions are shown and adjustable, and the result becomes a quote line.
How do messages to customers go out?
From your phone, by text, WhatsApp or e-mail: Nivelo prepares the text in the customer's language (confirmation, reminder the day before, "I'm on my way", quote, invoice, payment reminder, review request) and you send it in one tap. The customer sees your number, not a robot's.
Getting set up
Do I need to change my number?
No. You keep your mobile number. When the line opens, you'll turn on conditional call forwarding to Nivelo: when you're busy, don't answer or can't be reached. No hardware, no change of contract.
How do you find my business?
When you sign up, type your business name: we read your Google Maps listing (address, phone, opening hours, category). Without a listing, your company number is enough: we find the name and registered address in the Crossroads Bank for Enterprises. Nothing is saved until you've confirmed.
How is my area chosen?
We suggest the postcodes within a radius of your address, all ticked. You change the radius or untick a town, and it's done. You can change the area later in the settings.
How do I turn on call forwarding?
With the usual mobile codes: **67*number# when you're busy, **61*number# when you don't answer and **62*number# when you can't be reached, "number" being the one Nivelo gives you. These codes can vary between operators.
Data and privacy
Will calls be recorded?
No audio recording by default. The conversation is transcribed to pass the request on to you: the receptionist says so at the start of the call, and the caller can refuse. They then simply leave a message.
Where is the data stored?
In the European Union: the app and its database are hosted in Paris. Each business only sees its own calls, customers, jobs and invoices.
Why Paris and not Brussels?
Our hosting providers don't have a data centre in Belgium. Paris is their nearest region, 264 km from Brussels: your data stays in the European Union and under the GDPR.
How long do you keep transcripts?
90 days: every night, Nivelo deletes the transcript and summary of older calls; the customer, address, reason and appointments stay in the app. Today no calls are taken, so no transcripts exist.
Plans and trial
How much does it cost?
Three plans, every feature in each one: Site at €29 excl. VAT per month, all the management with no receptionist; Pro at €119, with 200 receptionist minutes; Intensive at €249, with 500 minutes. Monthly, no minimum term, no setup fees.
What if I go over my minutes?
Each receptionist minute beyond the plan costs €0.45 excl. VAT. Only the minutes of calls the receptionist takes count: quotes, invoices and messages are never limited. As long as the line isn't open, no minutes are counted.
How does the trial work?
14 days free, every feature and 30 receptionist minutes, no card needed. The minutes count from the day the line opens. Online payment for the subscription is coming: nothing is charged without your agreement.
Can I stop whenever I like?
Yes. The subscription is monthly, with no minimum term. If you use the receptionist, turn off call forwarding on your phone, and your calls come straight back to you.
